Rental Policies
Please read all policies carefully before booking. By completing a reservation you agree to all terms below.
Renter Requirements
- The primary renter must be at least 21 years of age at the time of booking.
- A valid government-issued photo ID is required at delivery and must match the name on the reservation.
- The primary renter listed on the booking is legally responsible for all guests, the condition of the camper, and compliance with all policies during the rental period.
- A minimum stay of 3 nights is required for all bookings.
Booking & Payment
- Nightly rate is $110/night plus a $100 delivery & setup fee per booking.
- A $200 non-refundable booking deposit is required at booking to secure your dates.
- The remaining balance and a $500 security deposit are both due 14 days before your check-in date.
- The $500 security deposit will be fully refunded within 7 business days after pickup, provided the camper is returned in good condition.
- All payments are processed securely via Stripe. We accept all major credit and debit cards.
Cancellation Policy
- Cancellations made 14 or more days before the scheduled arrival date will receive a full refund of all payments, excluding the $200 booking deposit.
- Cancellations made within 14 days of the arrival date are non-refundable. No exceptions for illness, weather, change of plans, or campground-related issues.
- To cancel, you must contact us in writing at freshcoastrentalsmi@gmail.com. Cancellations are not effective until confirmed in writing by Fresh Coast Rentals.
- The $200 booking deposit is non-refundable under all circumstances. If you have a billing concern, please contact us directly at freshcoastrentalsmi@gmail.com before contacting your bank — we are happy to resolve issues promptly.
- We strongly recommend purchasing independent travel insurance for added protection against unforeseen circumstances.
Delivery & Pickup
- The camper will be delivered and fully set up at your campsite by 4:00 PM on your check-in date.
- The primary renter must be present at delivery to complete a walkthrough and confirm the camper's condition.
- Pickup will occur at 11:00 AM on your checkout date. All personal belongings must be cleared and the camper accessible by that time.
- Delivery is available within a 60-mile radius of Ludington, Michigan.
- The renter must provide a valid campsite number and campground name at booking. Delivery cannot be completed without confirmed site information.
- The renter is responsible for booking and paying for their own campsite separately. Fresh Coast Rentals does not make campground reservations on your behalf.
Late Checkout
- Checkout time is 11:00 AM on your departure date.
- Checkouts between 11:00 AM and 1:00 PM will incur a $50 late fee.
- Checkouts after 1:00 PM will be charged a full additional night at the applicable nightly rate.
- If you need a late checkout, please contact us in advance — we'll do our best to accommodate based on scheduling.
Guest & Occupancy Policy
- Maximum occupancy is 4 guests. Exceeding this limit is a violation of the rental agreement and grounds for immediate termination without refund.
- The primary renter is responsible for the conduct of all guests during the rental period.
- Guests are expected to comply with all campground rules, Michigan state park regulations, and local ordinances.
Cleaning Standards
- The camper will be delivered clean and guest-ready. We ask that it be returned in a reasonably clean condition.
- Please remove all food, trash, and personal belongings before pickup.
- Dishes should be cleaned and put away. Surfaces wiped down. Floors swept.
- Excessive cleaning required beyond normal use will result in a $150 cleaning fee deducted from the security deposit.
- We handle all waste tank dumping — renters do not need to manage the tanks.
Pet Policy
- Pets are not permitted inside the camper without prior written approval from Fresh Coast Rentals.
- Approval requests must be made before booking. Unauthorized pets will result in full forfeiture of the security deposit plus additional cleaning fees.
- Approved pets must be kept off all furniture and bedding. Renter is responsible for any pet-related damage or excessive cleaning.
Smoking Policy
- Smoking of any kind is strictly prohibited inside the camper — including cigarettes, cigars, vaping, and marijuana.
- Smoking outside the camper is permitted in accordance with campground rules.
- Any evidence of smoking inside will result in a minimum $250 cleaning fee charged against the security deposit.
Security Deposit & Damage Assessment
- A $500 refundable security deposit is due 14 days before arrival.
- We photograph and/or video the camper at both delivery and pickup to document its condition. You are encouraged to do the same and must report any pre-existing damage within 2 hours of delivery by text or email.
- Following pickup, we will notify you within 5 business days of any deductions, with an itemized written statement and supporting photos. Any remaining deposit balance is returned within 7 business days of pickup.
- The deposit may be partially or fully forfeited for: damage beyond normal wear and tear, smoking inside, unauthorized pets, excessive cleaning, missing or broken items, or late checkout fees.
- If damages exceed the $500 deposit, you will be invoiced for the difference and agree to pay within 14 days of receipt.
Damage, Liability & Assumption of Risk
- The renter is financially responsible for all damage to the camper, its contents, or equipment caused during the rental period beyond normal wear and tear. Normal wear and tear does not include broken fixtures, torn upholstery, stained surfaces, awning damage, or damage caused by misuse or negligence.
- The renter acknowledges that use of a travel trailer involves inherent risks — including operation of propane systems, electrical hookups, the outdoor awning, and all activities associated with outdoor camping — and voluntarily assumes those inherent risks on behalf of themselves and all guests. This assumption of risk does not apply to risks created by Fresh Coast Rentals' own negligence, including unsafe delivery, improper setup, or defective equipment.
- To the fullest extent permitted by Michigan law, Fresh Coast Rentals is not liable for personal injury, death, illness, property damage, theft, or loss of renter belongings occurring during the rental period, except where caused by Fresh Coast Rentals' gross negligence or willful misconduct.
- The renter agrees to indemnify and hold harmless Fresh Coast Rentals from claims arising solely from the renter's or guests' violation of rental terms or misuse of the camper — this does not apply to any claims involving Fresh Coast Rentals' own negligence or breach of duty.
- Fresh Coast Rentals' total liability for any claim arising from this agreement shall not exceed the greater of (a) the total rental fees paid or (b) $1,000, excluding deposits. This cap does not apply to personal injury claims arising from Fresh Coast Rentals' gross negligence or willful misconduct.
Prohibited Uses
- The camper cannot be moved, towed, or relocated from the agreed campsite under any circumstances. Any attempt will result in full forfeiture of the security deposit and may result in legal action.
- The camper may not be sub-rented, loaned, or made available to any person not listed on the reservation.
- The camper is for personal camping and recreational use only — not commercial filming, photography for profit, or use as a permanent residence.
- Do not access or walk on the roof of the camper under any circumstances.
- The power awning must not be left extended during rain, high winds, or when the camper is unattended. Awning damage due to misuse is the renter's financial responsibility.
- Generators may not be used inside the camper or in any enclosed area.
- Any illegal activity on or around the camper is grounds for immediate termination without refund.
Weather & Force Majeure
- No refunds are issued for inclement weather during an active rental period. The camper provides full shelter and is equipped for rainy days.
- If Fresh Coast Rentals is unable to complete delivery due to circumstances beyond our reasonable control — including severe weather, road closures, vehicle mechanical failure, illness, or campground closure — we will make every effort to reschedule. If rescheduling is not possible, all payments except the $200 booking deposit will be refunded. This is your sole remedy in such circumstances.
- In the event of a mandatory park evacuation or severe weather emergency during your stay, we will work with you on rescheduling at no additional charge.
- For any emergency during your stay, contact us directly at (269) 286-3378. In a medical emergency, call 911 first.
Governing Law & Disputes
- These policies and the rental agreement are governed by the laws of the State of Michigan.
- Any dispute arising from a reservation or rental shall be resolved exclusively in the courts of Mason County, Michigan.
- If any provision of this policy or the rental agreement is found unenforceable, all remaining provisions continue in full force and effect.
- These policies, together with the signed rental agreement, constitute the entire agreement between the renter and Fresh Coast Rentals.
Privacy Policy
Last updated: April 2026. This policy explains how Fresh Coast Rentals LLC collects, uses, and protects your personal information.
What Information We Collect
- Booking information: Name, address, phone number, email address, campground and campsite details, dates, number of guests, and add-on selections.
- Payment information: Payments are processed by Stripe. Fresh Coast Rentals does not store, see, or have access to your full credit card number. Stripe's privacy policy applies to payment data.
- Electronic signature: Your typed name and the date you agreed to the rental agreement.
- Contact form messages: If you contact us via our contact form, we receive your name, email, and message.
- Usage data: Basic website analytics may be collected by our hosting provider (Netlify). We do not use advertising trackers or third-party analytics platforms.
How We Use Your Information
- To process and confirm your reservation
- To send you a booking confirmation email and signed rental agreement
- To communicate with you about your reservation — including delivery times, balance due reminders, and post-rental follow-up
- To maintain our booking records in Google Sheets
- To add calendar events to our internal Google Calendar for scheduling
- We do not sell, rent, or share your personal information with third parties for marketing purposes
Third-Party Services
- Stripe — payment processing. Your payment data is governed by Stripe's Privacy Policy.
- Google (Gmail, Sheets, Calendar, Drive) — booking data is stored in Google Sheets and Google Calendar. Confirmation emails are sent via Gmail. Signed rental agreements are temporarily created in Google Drive and then deleted after emailing.
- Formspree — contact form submissions are processed by Formspree.
- Netlify — website hosting. Basic server logs may be collected by Netlify.
Data Security
We take reasonable measures to protect your personal information. Payment data is handled exclusively by Stripe and is never stored on our servers. Booking data is stored in Google's secure infrastructure. We do not store credit card information.
How Long We Retain Your Data
We retain booking records for a minimum of 3 years for business and tax purposes. If you would like your information removed after your rental is complete, contact us at freshcoastrentalsmi@gmail.com and we will accommodate reasonable requests where not required by law.
Your Rights
- You may request access to the personal information we hold about you.
- You may request correction of inaccurate information.
- You may request deletion of your data, subject to our legal retention obligations.

Changes to This Policy
We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated date. Continued use of our website or services after changes are posted constitutes your acceptance of the updated policy.
